Small-business backups: the test that shows your files can be recovered

· Konsolia

A successful backup report does not tell you whether your team can resume work. Here is a practical recovery exercise that leaves everyday business data untouched.

Small-business backups: the test that shows your files can be recovered

Imagine a quote folder disappearing on the morning a customer expects your answer. The questions become practical: which version can be recovered, who can recover it and when will it be usable? A planned exercise answers these questions before an incident.

Choose a folder that represents real work

For a first attempt, select a small business folder containing different file types: a quote, its calculation spreadsheet and an attachment. The business owner identifies the expected version. Avoid starting with a full server recovery during a normal working day.

Cybermalveillance.gouv.fr recommends regularly testing backups and keeping the software needed to use the data. Recovering a file is of little use if nobody can open it.

Restore into a separate location

The person authorised to manage backups selects the recovery point and restores the files to a protected test location. Live files stay where they are. For an application, use an isolated environment and prevent real emails or transactions from being sent during the exercise.

  • Record the start time and the date of the backup used.
  • Open the documents with the usual tools.
  • Check their content, attachments and expected permissions.
  • Ask the person who uses the data to confirm the result.

Measure usable recovery, not just copying

In our example, the test ends when the salesperson can find and review the quote. Time spent finding credentials or installing software counts too. Compare this delay with the downtime your business can tolerate.

Record missing files, errors and steps that depended on a single person. A one-page report can cover scope, backup selected, duration, result and outstanding actions.

What this exercise establishes

A successful test validates the folder and scenario you tried. It does not, by itself, show that every server will recover after a major outage. Plan further exercises for important applications and repeat them after significant changes.

Our server and data backup service can help you prepare the first check. The aim is a verifiable result: recovering the information your team needs.
