Which task should a small business automate first?

· Konsolia

Start with a repetitive task whose outcome is easy to check. A customer-request example shows how to define the benefit, handle exceptions and test the result.

Which task should a small business automate first?

Copying the same information from email into a spreadsheet looks like a good automation candidate. Before connecting tools, however, you need to know what starts the task, which data can be trusted and who handles requests outside the normal process.

Choose an observable outcome

Consider a fictional example: each enquiry received through a form must appear in a tracking list and be assigned to someone. The first objective can stop at registration. The commercial response and pricing decision remain with the team.

Microsoft’s planning approach starts with understanding the process and its requirements. Choosing software follows the description of the work to be done.

Write the rules before building the flow

  • Which event starts processing?
  • Which fields are required?
  • How will you recognise a request already recorded?
  • Who receives incomplete or unusual requests?
  • Who can stop the process and take over manually?

Collect a few anonymised examples with the person doing the work. Look for exceptions too: a missing address, a duplicate submission or an absent attachment. A rule nobody can explain needs clarification before automation.

Make failures visible

An external service may be unavailable. Power Automate documentation recommends planning error handling, notifications and retries. A retry must account for completed actions to avoid creating duplicates.

In our form example, a request that cannot be recorded should enter a work queue or trigger an alert to a named owner. It must not silently disappear.

Measure the net benefit

Record the time spent on several requests before and after the change. Include checking results and handling exceptions. An initial estimate supports the decision; only the trial establishes the actual saving.

The acceptance test

Submit a complete request, an incomplete one and the same request twice. Then simulate an unavailable service in a test environment. Staff must be able to locate each case, understand its status and take it over.

Our business task automation service helps define a first process together with its rules, checks and documentation.
