IT maintenance: a monthly routine to keep your business in control

Recurring incidents, delayed updates and overlooked equipment: a short review helps you decide what to do next and check the results.

IT maintenance: a monthly routine to keep your business in control

A printer keeps failing, a workstation has requested a restart for days and nobody knows whether the backup alert was handled. Individually, these issues may seem minor. A clear record brings them together so the business owner can decide what needs fixing.

Start with the team’s difficulties

Set up a short monthly review with the person responsible for IT. This rhythm is for tracking actions; an outage or urgent security alert must not wait for the meeting. Start with observed problems: interrupted work, recurring slowness, an inaccessible document or a repeated incident.

For each issue, record the affected service, its impact, the action owner and the next deadline. “Unable to print delivery notes” is more useful than a row labelled “IT problem”.

Review a few recurring items

  • Open incidents and problems that keep returning.
  • Outstanding updates and required restarts.
  • Backup alerts and planned recovery exercises.
  • Changes to equipment, software or accounts.
  • Decisions requiring management input.

Cybermalveillance.gouv.fr recommends that business leaders manage security in line with their organisation’s needs. Reporting should therefore show consequences for the business, rather than just technical operations.

Organise updates

Updates address security vulnerabilities, among other issues. Use official channels and plan suitable precautions: backups, compatibility checks and recovery options. Handle urgent fixes according to risk rather than automatically waiting for the next monthly slot.

For a change that interrupts work, agree on a time, inform users and name the person who will verify that normal service has resumed.

Close the action with a business test

Returning to the delivery-note example, after the intervention a user opens a test document, prints it and checks that it is readable. Close the action based on that result, rather than the note “driver reinstalled”.

The monthly report can fit on one page: resolved issues, open issues, risks to address and decisions needed. This record avoids repeating the same discussion the following month.
