Shared files: find the right version without asking the whole office

· Konsolia

Clear names, an agreed master location and suitable permissions: a simple way to organise team documents without moving everything in one day.

Shared files: find the right version without asking the whole office

A quote exists in email, on a computer desktop and in a shared folder. Three people believe they have the latest version. Working habits matter as much as the software.

Agree on a master location

Start with one set of documents, such as current sales proposals. Decide with the team where the working version lives and who can approve it. Where the tool allows it, share a link to that location instead of sending a fresh attachment with every exchange.

In our fictional example, a salesperson must find a proposal using the customer’s name without knowing who wrote it. That need provides a concrete criterion for organising folders.

Write a few clear rules

  • A common naming structure for customer folders.
  • A separate location for approved documents if the process requires one.
  • An owner for resolving duplicates and ambiguous cases.
  • Read and edit permissions suited to each role.

Avoid adding folder levels without trying them with users. Two colleagues should be able to explain the same filing rule.

Check the available history

Microsoft documents version history in SharePoint and OneDrive. Retention settings determine which versions remain available. Check the actual configuration before relying on this feature; you still need a data-protection plan.

Modify a test document, find its previous state and check who can restore it. Do not use a quote under negotiation for the first attempt.

Move gradually

Sort a pilot folder before moving the entire directory structure. Identify links and tools still using the old location. Inform the people concerned and agree when the new organisation becomes the reference.

The team’s test

Give a colleague a customer name and ask them to find the approved document. A second colleague should reach the same result. If they open different files, the rule still needs clarification.

Our managed IT service can include shared storage and access monitoring within the agreed scope.
