Internet outage: prepare the work your small business can continue

The Wi-Fi network is visible, but online applications no longer respond. Staff hesitate between waiting, using a phone hotspot and recording information elsewhere. Simple preparation lets you make those decisions before the outage.

Classify tasks by dependency

With users, select a few essential operations: checking appointments, preparing a quote, recording a request or accessing email. Mark each as requiring internet, working locally or being safe to postpone.

Consider a fictional workshop that must record the day’s interventions even when its online system is unavailable. It prepares a temporary record with unique references and names the person who will enter the information once service returns.

Check offline documents

A file visible in a synced folder is not necessarily downloaded. Microsoft explains that online-only OneDrive files need a connection, while files kept on the device are available offline once downloaded.

Select necessary documents on a protected business device, wait for synchronisation and test opening them without a network. Check that the software can also work offline. Do not copy the entire document space by default.

Test an appropriate fallback

A mobile connection may provide backup if coverage, the plan and company rules allow it. Another operator may reduce some shared dependencies without guaranteeing availability. Check access to applications, any required VPN and authentication methods.

Decide who activates the fallback and which uses take priority. Capacity sufficient for email may not support several video calls at once.

Plan the return to normal

• List operations carried out during the outage.
• Check pending transmissions before retrying them.
• Reconcile temporary records to avoid duplicates.
• Confirm that edited documents have synchronised correctly.

The continuity test

On a test workstation, during an agreed window, simulate an internet outage without interrupting the whole business. The user should complete a priority task and then check its return to normal operation. Record the time required and any blocked steps.
